Our Sourcing Process

Our structured 6-phase process applies to all international sourcing engagements:

Phase 1 — Requirements & Scoping

Week 1

We begin by understanding your product specifications, quantities, quality standards, and target price points. We document your requirements in a formal Product Brief and confirm timelines, budget parameters, and any compliance or certification requirements. You receive a signed Service Agreement outlining our role, fees, and responsibilities before any work begins.

Phase 2 — Supplier Identification & Vetting

Weeks 1–2

We identify a minimum of 3 qualified suppliers from verified manufacturing and wholesale networks. Each supplier is assessed on production capacity, export experience, quality certifications, pricing, minimum order quantities (MOQs), and communication responsiveness. You receive a clear Supplier Comparison Report — side-by-side, so you can make an informed decision with confidence.

Phase 3 — Negotiation & Sampling

Weeks 2–4

We negotiate pricing, payment terms, lead times, and packaging on your behalf. Product samples are arranged for your quality approval. Once approved, we finalise the Purchase Order (PO).

Phase 4 — Order Management & Quality Control

Weeks 4–10

We place and confirm the order, monitor production or fulfilment progress, and provide regular updates. A pre-shipment quality inspection is arranged before goods are shipped. You receive an inspection report and approve before departure. Any quality issues are resolved before goods leave the origin country.

Phase 5 — Shipping & Logistics Coordination

Weeks 8–12 (China) / Weeks 3–6 (USA)

We coordinate with a freight forwarder for sea or air freight and manage all shipping documentation including Commercial Invoice, Packing List, Bill of Lading, Certificate of Origin, and any required import permits. You receive regular shipment tracking updates throughout.

Phase 6 — Delivery & Review

On Arrival

Goods are delivered to your specified location. We conduct a final delivery check against the original Product Brief and provide a Sourcing Summary Report — a full record of suppliers, costs, timelines, and outcomes. We debrief and plan next steps or repeat orders.


South Africa-Specific Considerations

SARS Import Duties & Tariff Codes
Every product imported into South Africa is subject to SARS customs duties based on the applicable tariff code. We help ensure your goods are correctly classified to avoid delays, penalties, or unexpected costs at the port.

Import Documentation
SARS requires specific documentation for customs clearance — including a Commercial Invoice, Packing List, Bill of Lading, and Certificate of Origin. We manage and verify all documentation before shipment to ensure a smooth clearance process.

Forex Payments to International Suppliers
Most international suppliers invoice in USD. South African businesses face ZAR/USD exchange rate risk on every order. Our background in treasury and cross-border payments means we understand this risk and can advise on timing and payment structuring to protect your margins.

SABS & Compliance Requirements
